What is a Crossings Independent Workshop?

An independent workshop, conference, training, or program is an event hosted at The Crossings by a business, organization, presenter, practitioner, or performance artist.

The Crossings' facility rental packages, production support, event enhancements, and marketing support package provide an opportunity for you to "rent and present" in a unique, memorable, and convenient way.

How is the Independent Workshop different from the Crossings Programmed Workshop?

Independent Workshops are created and presented by you. Independent Workshops are booked through the Group Rentals and Retreats department.

The Crossings' programs are designed by The Crossings' Program Managers.

What is a room block?

The room block is the foundation of your rental agreement. You may choose from The Crossings' three types of gracious lodging accommodations and reserve a block based on your expected number of participants. The block is the specific number and type of rooms that you reserve for your group. Once you sign a contract, these rooms are set aside for you.

What is the minimum number of nights and participants required for an Independent Workshop?

Monday through Thursday:
The minimum number of participants for a room block is 10. This minimum applies to numbers of people, not rooms. For instance, 10 participants staying overnight in 5 double rooms qualifies. (An Independent Workshop may range in length from one night to multiple nights.)

Friday through Sunday:
The minimum number of participants for a room block is 20. This minimum applies to numbers of people, not rooms. For instance, 20 participants staying overnight in 10 double rooms qualifies. (An Independent Workshop may range in length from one night to multiple nights.) Weekend events require both a Friday and Saturday night stay.

May I change the room block once the contract is signed?

Your room block is your guarantee. Because our lodging availability is limited and is often booked several months in advance, we ask you to carefully consider the personality, preferences, and needs of your group before signing your room block commitment. If you discover that you have reserved too many rooms, you have the option of releasing a portion of them to be resold. If the rooms are resold, we will apply a percentage of the resale to your balance due. If they remain unsold, you are responsible for the rooms. The Crossings does offer 10% attrition ("forgiveness") on a contract that falls short.

If you exceed your attendance expectations, you may add rooms to your room block based on availability.

May I book a Day Use Independent Workshop?

During most months Day Use events at The Crossings are booked only 30 days out, generally ruling out Day Use Independent Workshops. Please call for occasional availability of Day Use Workshops.

How does pricing work?

Your group rate pricing is based on the size of the room block, number of participants, length of stay, the time of year of your event, and production needs.

What are facility packages?

We have two types of packages for your Independent Workshop:

Lodging Package
The Crossings lodging package includes:

  • Your overnight accommodations
  • Three delicious and healthful buffet meals per day
  • Complete access to Crossings amenities, including spa robes, slippers, lockers, steam room, sauna, pool, hot tub, cold plunge, hiking trails, daily wellness classes

The Crossings Green Complete Meeting Package
The Crossings Green Complete Meeting Package includes:

  • Organic AM and PM snack breaks on meeting day(s):
    • organic fresh fruit
    • organic mixed nuts
    • organic toasted seeds
    • organic breakfast bars
    • organic trail mix
    • assorted organic candies
    • organic, fair trade coffees and herbal teas
  • Meeting space (8 a.m.–8 p.m.)
  • Event coordination assistance
  • Technical assistance
  • Room setup
  • Basic presentation tools:
    • (2) easels with (2) flip charts or (1) dry erase board
    • non-toxic/low odor markers
    • writing pads for every guest
  • Basic audio system:
    • vocal microphone

    • LCD projector with screen
    • (2) surge protectors

Your CMP package does not include onsite requests for additional equipment (tables, power cords, staff assistance in meeting space, extra microphones, projectors, flip charts, pads, pens, markers). Upcharges also apply for any equipment not listed here. Your coordinator will supply a cost sheet for planning/ordering this additional equipment.

Who will market my event?

You are responsible for promoting your event, including creating and distributing your marketing materials. The Crossings offers a marketing package for additional support, which includes:

  • A searchable listing on our Web site with a link to your Web site
  • A mention and link to your Web listing in our e-newsletter (as available) – circulation approximately 17,000

What materials are required for a listing?

  • A workshop description limited to 250 words, which is clear, concise, and will generate excitement as well as demonstrate a clear benefit.
  • A biography limited to 100 words for each presenter.
  • A number to call for registrations and more information.
  • A portrait photo for all presenters. Each photo must be at least 300 dpi or minimum file size of 300Kb. A hard copy photo can be used, but it must be at least 4' x 6'. NOTE: Most online images are too low resolution to work with.
  • A link to the each presenter's Web site.
  • Recently-released book cover images. Each photo must be at least 300 dpi or minimum file size of 300 KB. NOTE: Most online images are too low resolution to work with.

How is workshop tuition collected?

Generally, registration for your event, and collection of workshop tuition, is handled on your end. We post your registration and contact information on our Web site with a link to your Web site. After participants have registered for your event, you then refer them to The Crossings toll-free reservation line to make their lodging reservations.

If you prefer, The Crossings will also collect tuition for your group. Please call for more information and pricing. There is a 10% fee charged for this service.

How do lodging reservations work?

The Crossings sets up your event in our reservation system approximately two weeks after we receive your signed contract and deposit. Once you are set up, your participants may call and select their lodging accommodations from your reserved room block at your group rate.

Must all participants stay overnight?

Many workshops require this, but The Crossings can offer a commuter option for all events. Participants who wish to attend your workshop, but stay off property must call our reservations line and register as a commuter.

With whom do I coordinate the production details of my Independent Workshop?

Once your contract has been signed, you will be assigned an Events Coordinator who will work with you on all of the details of your event, from room set up to snack and beverage service to any special needs you might have.
